Facilitate your Congruency Review
- The Compliance Specialist is responsible for the funded research congruency review;
OCG is responsible for the release of the research funds.
- The PI is the only person on campus who receives notification of fundable scores, so it is up to the PI to initiate congruency review at this early state. Otherwise,
the review process would not start until OCG receives the award documents from the
sponsor, which increases the possibility that there could be a delay in PHS releasing
the funds.
- DOR typically does not receive notification that proposals submitted to the National
Institutes of Health (NIH) have received a potentially fundable impact/priority score. If such notification is received, a PI or administrator may directly request a grant
compliance review at such time, to facilitate the process and ensure a quicker turnaround
time.
- When you get notice from a grants management officer at NIH (not the automated message)
that your project will likely be funded, you will need to first add the grant to the protocol and then request congruence.
- If all proposed studies are not included in the IRB/IACUC protocol, modify the IRB/IACUC
protocol, or submit a new protocol or early renewal, if necessary. Please plan ahead as IRB/IACUC requires about 3-4 weeks to approve a minor amendment, or 4-8 weeks
to approve new protocols or renewal.
- If the current protocol is set to expire before or within a few months of the award
start date, it is advisable to submit a new protocol or an early renewal of the IRB/IACUC
protocol.
- Make certain that all the procedures and agents to be used on animals are clearly
outlined in the Vertebrate Animal Section (VAS). Identify the species, strains, ages,
sex, and numbers of animals, and concisely describe the proposed procedures the animals
will undergo. Include all experimental and control groups. Do not forget to list all
agents and doses in the Substance Administration section of the protocol.
- Please attach your FULL grant proposal to your IRB/IACUC protocol submission.
- Reviews of Institutional Biosafety Committee and Radiation Safety Committee approvals
are facilitated through Environmental Health and Safety (EHS).
- While a direct Conflict of Interest (COI) review is not conducted during this process
(any potential financial conflicts with funded research are required to be disclosed
via the Conflict of Interest Certification and Disclosure forms), if a potential conflict
is noted, it may be forwarded to the Conflict of Interest Committee Administrator
for review. The award will remain on hold until COI is cleared as well.
