UH Bulk Email Policies & Procedures

  • Per MAPP 10.03.01, all protocols and procedures for using the University’s bulk email resources will be determined and supervised by the vice president for marketing and communication in conjunction with the vice president for advancement. The only exceptions will be those policies and procedures implemented to meet specific security and/or technological requirements.
     
  • All UH bulk email will be sent using only approved distribution tools. At this time, all internal bulk mail must be distributed using SendIt and all external bulk email will be sent using IModulesUIT supervises the administration of SendIt and the Division of Advancement administers IModules. 
      
  • All requests will be submitted through the Bulk Email Coordinator (or equivalent), an FTE in the Division of Marketing and Communications, who will review the material for adherence to editorial and production guidelines. Acceptable submissions will be scheduled on a master calendar that tracks submission, production and delivery schedules of all bulk email, maintaining a balanced distribution schedule.

  • The coordinator will also develop additional bulk email guidelines deemed necessary by the vice president marketing and communication and vice president for advancement, incorporating “best practices” within the industry to improve technological efficiency and editorial effectiveness.
