Updates to Functions in PeopleSoft Grants

The Office of Contracts and Grants is implementing major upgrades to functions within the PeopleSoft system that will roll out in phases through 2023. Functions allow faculty and administrators to track the progress of requests in PeopleSoft grants.

The below timeline was outlined by David Schultz in the UH Research Forum on September 28.

Phase 1 is set go live on November 1 and will address the following award functions:

  • Award Setup
  • Monetary Modification
  • No-Cost Extension
Anything that does not fall into one those three areas will be considered a general inquiry at this time. Phase 2 will address the award closeout process and non-monetary modifications. Phase 3 will focus on interim funding, and Phase 4 will cover everything associated with contracts.

Currently, the Office of Contracts and Grants is meeting weekly with Enterprise Systems to help make this vision a reality. OCG is testing the functions internally to ensure they are working properly, enhancing end-user access to documentation, and standardizing field names for consistency. The office will then identify individuals to participate in campus user group testing to ensure functions meet internal and external needs and to verify that assigned roles provide adequate access.

As functions roll out, OCG plans to offer multiple opportunities for in-person training and open labs with campus users, along with the development of online video training and other resources for self-guided learning.

The end goal is to increase the campus' use of functions and provide visibility to faculty and administration for them to see where things are in the process. They would also like to identify additional functions based on the campus’ needs.
