Motor vehicle record requests must be encrypted if sent by email

The Department of Risk Management processes motor vehicle record checks for current employees or job applicants who operate or will operate vehicles owned or leased by the University of Houston per UH policy MAPP 06.05.03 (Motor Vehicle Record Evaluation).

The Texas Business and Commerce Code defines a person's driver's license number along with their first and last name as sensitive data. Per UH policy MAPP 10.05.03 (Data Classification and Protection), sensitive data such as that defined in the Texas Business and Commerce Code is level 1 data and must not be transmitted by email unless the message is encrypted. To receive a digital certificate necessary to send encrypted email, contact Brian Walker, manager of UIT Security, at bmw@uh.edu.

Please ensure that motor vehicle record requests are not sent by email unless the message is encrypted. Sending non-encrypted messages with level 1 data is a violation of UH policy and state law and will not be accepted for processing.

Motor vehicle requests are processed by Brenda Meade, administrative assistant in the Office of the Treasurer. She can be reached at 713-743-9180. The MVR Form should be completed and submitted by fax at 713-743-8795 or through inter-office mail via mail code 2009 (marked personal and confidential), or in person at Room 2 of the E. Cullen Building. Sending by fax is the preferred method.

Older versions of the MVR form will no longer be accepted.
