Each new UH faculty member will receive a link to their personalized and interactive New Faculty Checklist. Listed below is a sample of the individualized version of the checklist that you will have access to, which will include contact information for your designated Department Chair and Department Business Administrator (DBA). If you do not have a designated Department Chair, please consult your personalized checklist for the most accurate information. This checklist is a guide to assist you in performing common onboarding tasks for new faculty. For specialized information you may need as a new faculty member on research, teaching, university services, or university life, please go to the bottom of this page.

Sign your offer letter and submit it to your department

Sign the offer letter provided by your Department Business Administrator (DBA), and submit it to your Department to begin the hiring process.

  • Update your visa status at this time if applicable.

Phone call with your Department Chair

Arrange a visit or phone call with the Department Chair or your Dean/Associate Dean (if you are in a College without Departments) to discuss:

  • Office space: office location, building/lab access, keys, phone options, support staff, supplies, etc.
  • Computer equipment
  • College and Department procedures and policies
  • Scheduled faculty meetings (department or college) and expectations for attendance
  • Expected office hours

Phone call with your Department Business Administrator

Arrange a visit or phone call with your DBA or your College Business Administrator (if you are in a College without Departments) to discuss:

  • Your Department Business Administrator (DBA) assists you in setting up your email address and getting your CougarNet account. This gives you limited access prior to your official start date to the following: PeopleSoft (online completion of direct deposit forms), instructor role, and parking.
  • If applicable, moving arrangements and guidelines should be discussed at this time.
  • If you plan to commute by car, ask for suggestions on the closest parking lot/garage to your new office.

Complete I-9

I-9 completion is a two part process:

  • Part 1 should be completed online through Hire Right and that request should be made by your DBA. You will receive an email from HireRight to complete the first section of the I-9.
  • Part 2 must be completed in the HR Service Center prior to or on the first day of employment.  This is where you will provide your original, non-expired documents. Click here to review the complete list of acceptable documents.
If you do not have a social security number, please follow the steps to complete the I-9.  Once you receive your social security card, please bring it to the HR Service Center to update our records and complete an eVerify.

Submit photo

Please submit a photo of yourself in your UH Powerhouse Faculty polo. Please send a digital photo (.jpg or .png file format) to fac-rred@uh.edu. If you have not received the polo in the mail by August 1, contact fac-rred@uh.edu.

Review HR Benefits and Enrollment Information

An online module is available to provide information on benefits packages. Review this information as soon as possible. A Q&A session will be offered during the New Faculty Orientation Program on August 14. Please take a few moments to register for it via the new faculty website.

Follow up with Department Business Administrator

Follow-up with your DBA to confirm that your hiring documentation is in order and an electronic Personnel Action Request (ePAR) has been submitted, which sets you up in PeopleSoft as a full-time employee with your effective start date.  If it has not been completed, work with your DBA to do so as soon as possible.

If you are in the process of completing your Ph.D., you must show evidence of completion by August 1. Please provide your official transcript to your Department.

Register to attend New Faculty Orientation Program

The New Faculty Orientation Program is scheduled for August 14-16, 2017. The three-day program is hosted by the Provost's office and will include both required and optional events that will help acquaint you and your family to your new community. See the New Faculty Orientation (NFO) module for additional information. Please take a few moments to register for the orientation.

Purchase Parking Permit

Once you are ready to purchase a parking permit, go into AccessUH and click Parking Self-Service.  Watch the video to learn how to purchase your parking permit. You may also purchase your permit at the NFO Program on August 15.

Get Your Cougar Card

The Cougar Card is a multi-purpose ID that integrates a number of functions for daily use around our campus. You have three methods with which to secure your Cougar Card. You can order your Cougar Card online through the Access UH portal (and click Cougar Card). You can also go to the Cougar Card office, which is located at the Welcome Center, suite 151. You may also order your card at the New Faculty Orientation on August 15th during morning registration.  For more information on the Cougar Card, visit www.uh.edu/cougarcard

Research

Arrange an appointment with your department chairperson to discuss the following:

  • Your startup package, as detailed in your offer letter
  • If appropriate, the timeline and primary contact responsible for arranging:
    • Purchasing or moving equipment
    • Transferring research funding from your previous research institution
    • Space remodeling
    • Hiring additional staff

Teaching

Talk to your department chairperson about your courses for the fall semester. Confirm that you are the instructor of record.

Discuss with your department chairperson the ordering of course materials.

Check with your department to determine if they have the classroom computer equipment you need.
