PeopleSoft Training Now Under Way for ADMIN Users

July 2006

 

All current users of the ADMIN system at UH and at UHV are now invited to sign up for an upcoming Experiencing Change Workshop this summer. This first round of training anticipates the March 2007 go-live date for PeopleSoft Student Administration. Experiencing Change is a half-day workshop that provides a common vocabulary and strategies for dealing with change and is required for all ADMIN users.


End Users will participate in:

  1. Experiencing Change  (half day--no computers) provides a common vocabulary, helps to manage expectations, and provides strategies for dealing with change.  Content from this workshop is used throughout all subsequent training. All 2000 eventual PeopleSoft trainees at UH and UHV will have this workshop as their starting point. [Scheduled:  July through March, numerous sessions]
  2. Intro to Student Admin  (one day--some computer time) teaches the basic structure and navigation for the application, including, for example, PS terminology, Academic Structure, Effective Dating, and Search/Match.  This training is interactive.  All 2000 eventual PeopleSoft trainees at UH and UHV will have this session prior to their role-based training. [Scheduled:  November through March, then ongoing]
  3. Role-based Training  (length varies—hands on) teaches the basic processes of the End User’s specific area.  This training is interactive.  All 2000 eventual PeopleSoft trainees at UH and UHV will attend training in order to receive access. [Scheduled:  November through March, then ongoing]

Train-the-Trainer PeopleSoft Sessions Get Started

Training has also begun this Summer for the identified Enrollment Services “Super Users” who will be the trainers for all End Users in the enrollment services units, in the colleges, and in the other divisions that use ADMIN.   Approximately fifty Super Users in the enrollment services units at UH and at UHV have been identified and will serve as trainers and/or coaches.  All training will be role-based, interactive, and designed for skill mastery. Enrollment Services End User Training will be November/December 2006. 

Additionally, "Power Users" will be identified in the Colleges to jump start their PeopleSoft skills in late Fall, along with their own session in coaching and communication.


Super Users will participate in:

  1. Experiencing Change  (half day--no computers) provides a common vocabulary, helps to manage expectations, and provides strategies for dealing with change.  Content from this workshop is used throughout all subsequent training.  All 2000 eventual PeopleSoft trainees at UH and UHV will have this workshop as their starting point.
  2. Intro to Student Admin  (one day--some computer time) teaches the basic structure and navigation for the application, including, for example, PS terminology, Academic Structure, Effective Dating, and Search/Match.  This training is interactive.  All 2000 eventual PeopleSoft trainees at UH and UHV will have this session prior to their role-based training.

  3. Facilitating Learning “Super User Development” (SUD) is our train-the-trainer sessions (three days—no computers). These three days teach the concepts for training others in an interactive format focused on skill mastery—both why and how it works—and also coaching and communication (which these PS experts will be doing a lot of in their departments!).  

  4. Intensive work with Application Lead   Following the three-day SUD training, participants will begin working with their respective Application Leads based on a roadmap for development of PS expertise in each individual’s module. From the end of July through the beginning of November, Super Users will spend up to 50% of their time working in their module so that they are ready to train others by November.  Roadmaps could include: participate in validation and testing; review or help create Business Process documentation; do flow charts for business processes; create training scripts; and write training materials (with Change Management).

  5. Additional Coaching experience with Change Mgt.  The Change Management Team will work with the Super Users on presenting readiness experiences such as “Sneak Peeks” for general End Users and training experiences such as “Intro to Student Admin.”  The CM Team will work with Super Users on designing the training they will present to End Users.

The Change Management Team will also be working with the Enrollment Services Units to build ongoing help-desk support and a coaching network for go-live and beyond.
