Mandatory Training FAQ's:
Q1: I just completed this training didn't I?
Answer #1: Yes, you may have completed a New Hire training course if you were hired during FY11 which runs from September 1, 2010 through August 31, 2011. You are now being asked to complete the mandatory training requirement for FY12.
Answer #2: It may also be that you completed the training this time last year for FY11. University of Houston System employees are required by the associated policies with each course, to complete them annually or as otherwise enforced. To learn more, click on the associated policy/law next to each course listed above under Courses Required. You are now being asked to complete the mandatory training requirement for FY12.
Q2: I completed the course but it does not show me as complete in P.A.S.S?
Answer #1:The online courses are housed on the UH Campus in Blackboard, and P.A.S.S is located in the PeopleSoft enterprise system. Therefore, it can take from 24 to 48 hours to update your training record in P.A.S.S. The data feeds from the online course system to P.A.S.S occur nightly and are not simultaneous.
NOTE: To check and verify your training record in P.A.S.S, please refer to the following step by step process located on the following website:
http://www.uh.edu/adminservices/PASS/trainingsummary.htm
Answer #2: If you have logged in and your training summary (after 24-48 hours) does not show you as complete, please verify that you have achieved the required score in order to receive credit. Please refer to the course table listed above.
Q3: If I am having technical difficulties (course login, password, or technical course issues), who do I contact?
Answer: For technical support, or to reset your online training password, please contact the University of Houston Technology Support Services at 713-743-1411.
Q4: I am a part time employee, student worker or an adjunct faculty member, do I have to complete the training?
Answer: Yes. All employees of the University of Houston System are required to complete the annual mandatory training. If you receive payment/compensation for work from the University of Houston System, you are required to complete the annual mandatory training or new hire training courses if you are a new/recent hire.
Q5: Do I have to complete all the courses at one time?
Answer: No. You can complete each course one at a time and do not have to complete all of the courses in one sitting. However, it is highly recommended to set aside some time where you can take the courses with little or minimal interruption.
Q6: Do I have to watch the videos for each training?
Answer: No, you have a variety of options available to review material for the training courses. You can review the video and then take the quiz; you can read the printable format and then take the quiz; or you can go straight to the assessment tab and take the quiz.
Q7: How much time do I have to complete the courses?
Answer: The official launch date of the FY12 Annual Mandatory Training starts on Monday, October 3rd and runs through the published end date of Wednesday, November 30th, 2011.
Q8: What happens if I do not complete the courses by the published deadline of November 30th?
Answer: According to SAM 02.A.11 and SAM 02.A.26, any employee that does not complete all training by November 30, 2011 will not have met their minimum job requirements, and therefore will not be eligible for a merit increase. Employees will still be encouraged to continue to complete their training, if they have not yet done so by November 30, 2011, as the courses will remain available on their UHS Training
account through July of this fiscal year (FY12). However, to be eligible for merit increases in FY13, employees must complete the training by November 30, 2011.
Q9: Why do we have to do content testing this year?
Answer: As we continue to improve upon the training administration, we were able to offer an abbreviated version of the annual mandatory training for FY11. It was determined at that time that we would return to content training and testing every other year, making FY12 the year to complete content testing once again.
Q10: Why do we only have 8 weeks to finish?
Answer: The established dates for administration were created to assist in timely completion and reporting of results for the FY12 required trainings. Please be sure to plan your time accordingly to complete the required training and role based training courses by November 30, 2011.
Q11: If an employee is on leave do they have to take the Mandatory Training?
Answer: All UHS Employees (faculty, staff and students in the payroll system) are required to complete annual Mandatory Training. Employees that are on leave during the Mandatory Training period would not be required to complete their training while on leave. That would mean that to be exempt from the deadline an employee would need to be on leave the entire Mandatory Training Period from October 3rd to November 30th. Employees would be expected to take their required Mandatory Training upon return to work if returning before the end of that fiscal year.
The responsibility for monitoring to ensure compliance would be at the department or college level. Department or College Business Administrators should contact their HR Generalist with any questions or concerns. Employees that are listed as "active" in the PeopleSoft System, but on leave will not be removed from the list of employees responsible for completing their Mandatory Training, as the list is pulled from active employees.
Q12: Once I am in the Blackboard Training how do I return to the homepage to see my course list or go to the next training?
Answer: If you are in Blackboard and you want to return to the homepage to see your course list, click on the MY Blackboard (located on the toolbar at the top right) that will take you to the homepage where you can see your list of courses.
Q13: How can I see if I passed the quiz or what grade I made?
Answer: Once you finish the quiz (in Blackboard) on the left side bar you will see a tab called Assessments.
Click on Assessments and then click on view submissions. This will show you each attempt and the score or percentage for each attempt.
You can check your score/grade for any of the training at any time by following those same steps. You can refer to the following website
for required scores http://www.uh.edu/hr/mandatorytraining/index.htm
Another way to check your grades: It takes between 24-48 for grades to feed from Blackboardto PeopleSoft. Once that period has past you can
go into PASS?Training?Training Summary, and see all your training and the status of each. They will either be marked as enrolled or completed.
If the course is marked "enrolled that means that either the quiz results have not fed over or that you did not make a passing grade on the quiz.
If the course is marked "completed" that means that the quiz scores have fed over and that you passed the course.
Q14: What is different this year in the Mandatory Training?
Answer: First, we are doing content testing, which we did not do last year. Second, the primary Mandatory Training (required for everyone), is more interactive than it has been in the past. This is a continual work in progress to make the information more applicable to the employees work life. Third, the quiz questions are in a random rotation. This means that each employee will get a unique set of questions in a unique order and that if they take the test multiple times, each time will be a different set of questions/order. The reason for this change is to increase learning and retention of the material. Forth, External Consulting and Related Third Party Disclosure Forms have been separated into two trainings instead of one.
Q15: What is the SORM training?
Answer: The 79th Legislature, regular session, passed House Bill 7 that enacted, among other laws, Texas Insurance Code Chapter 1305. The purpose of Chapter 1305 is to authorize the use of workers' compensation health care networks to provide quick, efficient, quality medical care to employees injured at work. On October 1, 2011, it became a requirement to notify all UHS employees of the workers' compensation specific network requirements.
This will be a one-time requirement (Mandatory Training) for current employees and on-going for new hires.
In addition, employees will receive additional information when they report an incident.
