Making the Offer
Congratulations on your
candidate selection!
Locating your potential new
employee can be an exciting
process but before the
formal offer is extended
please review the following
steps to make your new
employee’s transition to the
University of Houston is as
seamless as possible:
Prior to making an offer,
contact your Employment
Representative and inform
them that a candidate has
been selected. Request the
position be closed in the
On-line Job System (OJS) in
order for the Request for
Offer (RFO) to be completed.
Change the status of the
selected applicant to
“Selected Applicant” in OJS.
The remaining job seekers
statues should then be
changed to either
“Interviewed – Not Hired” or
“Not Interviewed – Not
Hired” and select the
corresponding reasons why
they were not selected.
Once the selected
candidate’s status is
changed to “Selected
Applicant” and all other
applicants have been
dispensed by moving their
statues to “Interviewed –
Not Hired” or “Not
Interviewed - Not Hired”,
your potential new employee
should now be the only
visible candidate in OJS.
The Request For Offer (RFO)
tab is now available and is
located to the left of the
Notes/History tab. Select
this tab and enter the
candidate’s start date and
salary. If the salary is
above the midpoint range for
the position, it is
considered a salary
exception. A memo section is
provided in the RFO.
Explanation for the salary
exception must be provided.
Please note:
1. Only the “Requestor”
status is able to complete
the RFO.2. If a salary exception is
not provided in the RFO, the
RFO will be sent back to the
department for an
explanation and this may
delay the approval process.
After the RFO is
completed, submit it to
Department level for review.
The RFO will be reviewed by
the Departmental level, then
College Level, and finally
Employment. If it is a
salary exception,
Compensation will also
review the RFO. An e-mail is
submitted to all levels when
the RFO has been approved.
Employment is responsible
for providing the final
approval.
If the position is listed
as security sensitive, a
Criminal History Record
Investigation (CHRI) form
should be completed and
submitted to HR. Employment.
The results for the CHRI are
submitted to departments via
e-mail.
Now that the RFO has been
approved and the CHRI
results have been received
and are clear, a formal
offer can now be extended.
Extend the offer in
writing, make a copy of the
signed letter, and submit
the copy along with other
documentation to Human
Resources.
