Status of the University of Houston System Finance Project 
As of April 2002

General Ledger

University of Houston System adopted PeopleSoft 7.5 Financials for Education and Government General Ledger as its accounting system of record on September 4, 2001.  Noteworthy activities include:

  • Process Analysis, which was completed in the early fall of 1999.
  • Fit Analysis began in November 1999 and concluded with Shared Chartfield and Department Structure sessions in December 1999.
  • Design and development was completed, with on-going maintenance occurring in production. 
  • Accounting processes were designed and are available to end users on the Finance web site.
  • Interfaces from other administrative systems were identified, developed, tested and are in production.
  • User Acceptance Testing of the General Ledger was completed in February and March 2001.
  • On going General Ledger training will continue on each of the campuses.
  • Conversion of Fiscal Years 2000 and 2001 historical financial data has been completed and validated. 
  • University of Houston System General Ledger reports were developed and delivered PeopleSoft reports provided with the General Ledger have been tested and verified.  Additional report development will continue.
  • General ledger and budget forms have been developed and are available on this web site.
  • End user security has been completed.  Security requests for the finance applications are available on this site.

Payables and Purchasing

Payables and Purchasing applications in PeopleSoft 7.5 for Education and Government are in use by all universities in University of Houston System.  Significant milestones include:

  • The Purchasing application was first used during the week of July 16, 2001 for the creation of Fiscal Year 2002 purchase orders.  The first purchase orders created from the production system were mailed to vendors the week of August 6, 2001.
  • FY2002 purchase vouchers were first entered into the production system on August 21, 2001.  University of Houston departments have entered 14,850 vouchers through October 6, 2001.
  • The first accounts payable checks from PeopleSoft Payables were produced on September 4, 2001.
  • Completion of Process Analysis for both applications in September 2000.
  • Completion of Fit Analysis for Purchasing in early October, 2000 and Payables in late October, 2000.
  • Completion of major design and set-up of the applications for UHS use is complete.
  • Initial User Acceptance Testing of both systems was completed in June, 2000.
  • Interfaces of other University of Houston System applications to Payables were developed and are in production.  
  • The interface of UHS PeopleSoft Payables to the Uniform Statewide Accounting System, including reimbursement of State payroll, has been operating since September 4, 2001.
  • End user training is on going at each UHS University.

Post Implementation Enhancements

The project team and Financial Systems Planning Group have developed an initial listing of tasks for post implementation, including enhancements, on-going development and implementation of the remaining modules, which is available in the Forms and Reference section.
