Event Registration

All registered student organizations in good standing have the privilege of holding events on campus. Depending on the kind of event, you may need to work with an Event Registration staff member to complete the process in the Center for Student Involvement. You can register your event(s) during the Center for Student Involvement office hours - Monday through Thursday from 8:00 AM to 8:00 PM and Friday from 8:00 AM to 6:00 PM.


Events with ANY of the following criteria must do an event registration

  • Event is held outdoors
  • Alcohol is being served
  • Audience includes minors or off campus guests
  • Attendance of 300 or more
  • Event receiving AFB funding, student event catering fund donations, or Coca-Cola donations
  • Funded by Student Services Fee
  • Event is held in the Campus Recreation and Wellness Center, KIVA Room, Oberholtzer Hall, Cougar Village, or Alumni Center
  • Other special circumstances

If you are in doubt about whether or not you need an event registration, just ask. Both the University Center Event Services and the Event Registration staff will help you determine what you need to register your event.

When you meet with an Event Registration staff member for event registration, they will work with you to determine how best to put your event together, work within the University of Houston polices for events, and discuss best practices for risk management.

Categories

Listed below are some categories of events and the process that you will need to follow to register this type of event.

Meeting at the University Center
Fill out the University Center Reservation form and go straight to UC Event Services, on the second floor of the University Center. No need to do an Event Registration with CSI.

Informational Table at the University Center or PGH
Fill out the University Center Reservation form and go straight to UC Event Services, on the second floor of the University Center. No need to do an Event Registration with CSI.

Bake Sale at the University Center or PGH
Fill out and sign the Solicitation Form. Come to CSI during on-call hours and have a member of the Event Registration staff sign the form. Fill out the University Center Reservation form and go to UC Event Services, on the second floor of the University Center to complete your registration.

Social Event
The RSO Social Event Policy pertains to those on-campus events sponsored by University of Houston registered student organizations meeting the following criteria:

  • Includes admissions, cash donations at the door, or advanced ticket sales.
  • Attracts persons without a valid UH ID.
  • Is a mixer or social event.

Student organizations must begin the registration process at least 25 business days ahead of the event.


The Event Registration process can be expedited by doing the following

Make sure your organization is registered. Organizations that are not registered with the university cannot reserve space.

Make sure the person coming in to register the event is one of the three officers listed with CSI for the organization. Officers that are not one of the listed officers for the organization are not able to register an event.

Look at the space reservations on the UC Events Schedule site and see if the space you want is available on the day you need.

Check the CSI and University Calendars to make sure your event is not conflicting with major events.

Fill out the forms ahead of time and bring them with you. Many of the forms will give you good information about the University policies organizations must follow. HOWEVER, if you have not done an Event Registration before, and you have questions about the forms/blanks, it is better to wait until you meet with a CSI staff member. They can walk you through the forms.

Make sure that the forms have the same information - same event title, organization, contact information, start time, date, etc. The forms will get kicked back and you will have to meet a second time with an advisor if there are discrepancies.


Other notes

Advanced reservations for weekly/bi-weekly/monthly meetings in the University Center open on November 15th (for Spring Semester) and April 15th (for Summer Term and Fall Semester). Other reservations for events will be accepted up to 6 months ahead of the event date. Spaces fill up quickly.
