The Hiring Process:
When you have received an adequate number of applications to interview and make a selection, notify your Employment Representative and request that the position be “CLOSED.”
Once you have completed interviews, references, and background checks on your top candidates, you are ready to dispense your applicants and submit a Request for Offer (RFO) in the Online Jobs System (OJS)

To Submit a Request For Offer:
1. Dispense all of your applicants by assigning them a status
- For applicants you have interviewed, but are not selecting, they will receive the status of “Interviewed- not hired.” A non-selected reason will also need to be assigned from the drop down menu indicating why they were not selected. This not-hired status could state “not best fit” or “more qualified candidates found” depending on the reasoning for not selecting the applicant.
- For applicants you have not interviewed, and are not selected, they will receive the status “Not Interviewed – not hired” and will also need to be assigned a not-hired status
- If you have a second or third choice, you may change their status to “Interviewed – Decision Pending.” These candidates will not receive an e-mail until you have made a final offer to your selected candidate. However, you will need to go back and change their status to “Interviewed – Not Hired” if they are not selected.
2. The applicant selected for the position will receive a status of “Selected”
- This applicant should be the only one identified in “active status”
3. Select the “Request for Offer” tab – located at the top right hand of the menu bar
4. The selected applicants name should appear under “Candidate Selected”
5. Indicate whether the position is a salary exception
1. If “yes”, you must include a reason or “Justification for Exception”
- An exception is when the applicant will be making an annual salary beyond mid point of the posting pay grade
- If “no” is selected, move forward to the next step
6. Indicate an annual salary
7. Indicate a proposed start date. Remember this is a tentative date. The PAR will reflect the actual starting date
8. Click the “Continue to the next page” tab which will take you to the Notes/History section
- If you have difficulty forward to the next section, re-check that you have followed each step in completing the RFO
9. Click the “Continue to next page” tab and submit RFO
to Department
10. Confirm

11. The RFO process is now complete and will go through the certifying process before arriving with Employment. A criminal background verification form can be submitted to Employment if the position is “security sensitive”
