Review Finance Transactions in Process

Departments should review Finance transactions in process at least once a week to determine if any are stuck in someone’s worklist waiting for approval. The best way to do this is by running the following queries for your department:

• UHS_WF_AP_NOT_POSTED – Vouchers not posted
• UHS_WF_BUD_NOT_POST – Budget Journals not posted
• UHS_WF_SC_NOT_POSTED – SC Vouchers not posted
• UHS_WF_GL_NOT_POSTED – GL Journals not posted
• UHS_WF_REQ_NOT_APPROVED – Requisitions not approved

Reviewing the transactions in process has the following benefits:
• Reduces late interest payments to vendors.
• Improves the timeliness of employee reimbursements and payments to service centers and auxiliaries.
• Reduces denied journals and budget journals that are not processed before the month-end deadline.
• Ensures contracts are encumbered before it’s time to make a payment.
• Helps departments receive items faster when using a requisition/PO.

The above percentages include HUB-eligible voucher and P-Card payments for April 2007. However, HUB subcontractor payments are not included in the monthly HUB statistics but are included in the semi-annual and annual HUB reports.
